A coffe with Samaya Rincon, project coordinator at the Utrecht Convention Bureau. Samaya is currently working on the networking event ‘Let’s meet Utrecht’, where Utrecht-based suppliers and venues come together with event planners from all over the country. But what else does she do?
How do you prefer your morning coffee?
“When I work at home or in the office, I like to have a cup of black coffee. But when I sit on a terrace, I enjoy a delicious cappuccino.”
What is your most memorable congress or event experience?
“That would definitely be Let’s meet Utrecht. I’ve had the opportunity to organise the first edition of this event last year and am currently working on edition two. You spend months working on the organisation and preparation, and then the day arrives. Thankfully, everything went smoothly last year. Most importantly, we received very positive feedback. Everyone found it a valuable event. And that’s why you organise it!”
Tell us more about your role.
“I am the project coordinator at Utrecht Convention Bureau – part of Utrecht Marketing. Which means I work on various projects in the broadest sense of the word. I’m the right hand of my colleague Monique (accountmanager), but I also have my own projects.
I support Monique with various bidding processes where I’m responsible for designing a bid. Additionally, I assist in organising site visits and familiarisation trips, and I help with the preparations when Monique attends a trade show or symposium to promote Utrecht.
One of my own projects is Cvent, where I monitor the Utrecht-inquiries. Another example is our new Venuefinder, where I ensure that everything is presented correctly on the platform and maintain contact with our partners. Of course, there’s also Let’s meet Utrecht, where I am responsible for the organisation.
Let’s meet Utrecht is a networking event where business venues and suppliers from the Utrecht events industry meet event planners from all over the country. This years theme of Let’s meet Utrecht is: ‘Together’. Collaborating, coming together, discovering together, and organising business events in Utrecht together.”
What are you currently working on/heading towards?
“Right now, it’s officially summer vacation time, and you can tell because things are a bit quieter. That’s why I’m mainly focusing on the organisation of Let’s meet Utrecht, which will take place on Wednesday, September 6th. I have less than a month to go, during which I’ll be fine-tuning everything and looking forward to a successful event!”
What achievement of the Utrecht Convention Bureau are you most proud of?
“That Utrecht is the most competitive region in Europe. This is a wonderful achievement that presents the Utrecht region beautifully on the (inter)national stage.”
What is your favorite place in Utrecht region?
“I would say the canals and wharf cellars. When I go to our office, I walk along the beautiful canals through the city to get there. It’s especially beautiful early in the morning, it’s so peaceful, and with a nice morning sun, the city looks stunning.”
Who would you like to have your morning coffee with someday?
“I would choose King Willem Alexander. I’m so curious what his mornings are like. How he wakes up, what he has for breakfast, and what he does on a typical day. Maybe we could discuss that at that moment, haha.”
